Job Summary:

We are seeking a meticulous and reliable Payroll Specialist to manage and process employee compensation efficiently, accurately, and in compliance with all applicable laws and company policies. This role involves handling end-to-end payroll processing, ensuring timely payments, maintaining accurate payroll records, and supporting audits and reporting.


Key Responsibilities:

  • Payroll Processing:
    Accurately process payroll for all employees (weekly, biweekly, or monthly as applicable), including new hires, terminations, and changes.
  • Timekeeping & Attendance:
    Review and validate timekeeping records, leave balances, and attendance systems to ensure accurate calculations.
  • Compliance & Regulations:
    Ensure all payroll practices comply with local, state, and federal regulations including tax laws, labor laws, and social security regulations.
  • Deductions & Adjustments:
    Handle deductions (tax, benefits, garnishments, etc.), bonuses, incentives, and other adjustments to payroll.
  • Reporting:
    Prepare and maintain accurate payroll reports for internal and external use, including audits, financial statements, and management reviews.
  • Record Maintenance:
    Maintain organized and up-to-date employee payroll records in HRIS or payroll software.
  • Issue Resolution:
    Address employee queries related to payroll, deductions, or discrepancies in a timely and professional manner.
  • Coordination with Departments:
    Collaborate with HR, Finance, and IT departments to ensure alignment in compensation, benefits, and systems.
  • Year-End Activities:
    Support in year-end tax filing, preparation of Form 16/ W-2/ T4, and reconciliation activities.

Qualifications & Skills:

  • Bachelor’s degree in Accounting, Finance, Human Resources, or related field.
  • 2–4 years of proven experience in payroll processing or payroll administration.
  • Knowledge of payroll software (e.g., ADP, QuickBooks, SAP, Paycom, or local equivalents).
  • Solid understanding of payroll tax laws and labor legislation.
  • Strong numerical and analytical skills.
  • Excellent attention to detail and organizational skills.
  • Proficient in Microsoft Excel and other reporting tools.
  • Ability to handle sensitive information with confidentiality.

Preferred Attributes:

  • Certification in Payroll (e.g., FPC, CPP, or national equivalent) is a plus.
  • Experience with multi-state or international payroll is an advantage.
  • Strong communication skills to collaborate across departments.
  • Ability to work under pressure and meet tight deadlines.
